Overview

Remittance Reconciliation helps your finance team review payment information, match payments with invoices or adjustments, and resolve payment differences in one workspace.

When a remittance advice is received, Synctify OMS organizes the payment information into a structured record with payment details, line items, adjustments, references, and attachments. You can use this page to review payment status, check which items are matched or unmatched, handle exceptions, and mark the remittance as resolved after reconciliation is complete.

What you can do with Remittance Reconciliation

With Remittance Reconciliation, you can:

  • Review incoming payment advice records in a centralized queue
  • See payment details such as payment number, trace number, payer, amount, currency, channel, and payment date
  • Check whether payment line items are matched to OMS invoices
  • Manually link unmatched items to invoices or order adjustments
  • Record deductions or remittance adjustments
  • Resolve payment differences such as underpayments or overpayments
  • Discard line items that should not be included in the reconciliation
  • Export remittance data as XLSX or CSV reports
  • Mark a remittance as resolved once all required items are reviewed

Remittance and match statuses

Remittance Advice uses statuses to help you understand where each payment is in the reconciliation process.

Note

Remittance status and match status are different. Remittance status shows where the full remittance is in the review lifecycle, while match status shows whether individual line items have been matched, require review, or have been excluded.

Status / Match statusMeaning
Needs ReviewThe remittance requires user review
UnmatchedOne or more line items have not been matched to an invoice or adjustment
MatchedThe line item has been matched successfully
PartialSome items are matched, but others still require review
ExceptionThe item requires manual handling, usually because of a difference or mismatch
DiscardedThe line item has been excluded from the current reconciliation
ResolvedThe full remittance has been reviewed and locked

Once a remittance is marked as Resolved, it is locked and can no longer be edited.

  • A report is needed for payment reconciliation

Handle unmatched or exception line items

If a line item is unmatched, you can manually handle it in one of the following ways by clicking Link or Discard .

Handle unmatched line items

Link Line modal showing options to link a remittance line to an invoice, an order adjustment, or a memo or deduction.
Use Link to connect an unmatched line item to an invoice, order adjustment, or memo or deduction.

Link to an invoice

Use Link Invoice when the line item should be matched to an existing OMS invoice.

If the paid amount matches the invoice amount, the item will be marked as matched. If the amount does not match, the item may be marked as an exception and require additional handling.

Link to an order adjustment

Use Link Order Adjustment when the payment line corresponds to an order-level adjustment instead of an invoice.

Record a deduction

Use Record Deduction when the payer deducted an amount from the payment and the deduction should be recorded.

You may need to provide a reason code and description so the deduction can be tracked properly.

Resolve a payment difference

If a line item is matched but the paid amount does not equal the expected amount, it may be marked as an exception.

To resolve the exception, choose how the difference should be handled:

AdjustmentThe difference should be recorded as a structured adjustment
Write-offThe company decides not to collect the remaining difference
Outstanding balanceThe company still intends to collect the remaining amount

Depending on the option selected, you may be required to enter a reason code or explanation.

Discard or resume a line item

Use Discard when the line item should not be included in the current reconciliation.

Discarded items are excluded from pending exception handling. If needed, you can use Resume to bring a discarded item back into the review process.

When discarding a line item, enter a reason so the decision remains traceable.

  • The same invoice or order adjustment cannot be linked to multiple remittance line items at the same time.
  • Discarded items are not treated as pending exceptions.
  • A resolved remittance is locked and cannot be edited.
  • Attachments can be associated with a remittance, but uploading new attachments directly from this workflow may not be supported.
